People™ Product Tips: Understanding Your Absence Figures

My name is Mark, and I’m part of the customer services team here at People™.

Today, I’ll be answering a few questions about the absence figures you have access to as a system administrator.

Let’s start by opening up the correct tab – it’s the 5th one along on your admin dashboard. You’ll notice it shows you absence figures for both teams and employees:

Why are the individual absence figures here different to what’s shown on the employee’s planner?

Good question, and there are two reasons for this:

  1. The dashboard shows absences over a rolling 12-month period
  2. The figure shown here only includes sickness reasons included in your absence scheme

How do I include a sickness reason in my absence scheme?

To include or exclude a sickness reason in your absence scheme, simply do the following:

  1. Go into an employee’s sick record
  2. In the Sick Reason dropdown box, scroll to ‘Manage This List’
  3. From here, you can edit any of the sick reasons, and you’ll be able to select or deselect the ‘Include in Absence Scheme’ option.

Selecting this option will also link that type of absence to your employees’ Bradford Factor scores.

What exactly do team absence totals mean?

The team absence totals you can see show the average number of sick days for each team. In other words, the total absences of each individual within that team (over a rolling 12-month period) are added together, and then divided by the number of people in that team.

If you notice one team has a particularly high average absence number, you might want to see if it is due to generally high absences from those team members, or whether there might be an issue with one or two individuals within that team.
