Autumn 2016 Release Notes

It’s been a very busy few months here at People®, but we think it’s been more than worth it. Here are the release notes for our Autumn 2016 Feature Release, which is now LIVE for existing customers.

There’s a lot to take in, so you might want to put the kettle on. Don’t worry, we’ll wait for you.

Logbook Approval / Authorisation

The Logbook is one of the core features within PeopleHR, and is an important part of your day to day work. The Logbook allows you to record and track the key employee information that is important to your company, from equipment and uniform, to accidents and injuries.

One of the most popular existing features of the PeopleHR Logbook, is the fact that you can create custom screens. No matter how unique, company-specific, or even downright bizarre the information you want to track, you can create a screen for it in PeopleHR!

However, customer feedback has told us that there is a big way we could improve the Logbook – so keep reading to see what’s changing.

Authorisations

Once the Autumn 2016 Release goes live, you will be able to set any of your screens within your Logbook to require authorisation. What does this mean? Well, it means that you can give lots more people the permissions to edit certain screens – and that’s because you can require any changes to need authorisation before they go live!

– Change Log Lets You Audit Any Edits

Authorisation is optional, and can be added or removed from any individual screen. For each screen requiring authorisation, you will be able to define custom rules based on who is making edits, and you will be able to choose from a list of approvers to decide who will authorise logbook entries.

For example, you could allow managers to edit your Uniform screen freely, but require any edits by their team members to be authorised before going live.

To view any pending authorisations, simply check your Authorisations tab on your main menu.

For added security, you will also be able to view the Change Log for any of your Logbook screens, meaning you can easily audit any activity, or reverse and accidental authorisation.

Query Builder

The Query Builder is a feature within People® that allows you to generate your own custom reports. With the changes we’re introducing shortly, you’ll be able to do a whole lot more!

1. Generate Visual Charts

Once the forthcoming release goes live, you’ll be able to generate a variety of charts from within the Query Builder. This gives you the option to display your data in whichever format suits you best – bar graphs, line graphs or pie charts. You can also display statistical data such as averages, minimum values and maximum values.

Once you have produced a chart using the Query Builder, you will be able to export it from your HR system and share it with anybody you like. A great source of ammunition for meetings and quarterly reviews!

We have restricted who can view salary data using the Query Builder. If a user generates a report using the Query Builder, but does not have the permissions to view salary information, then the reports they generate will hide this data.

This gives you the peace of mind knowing you can give other people in your company access to the Query Builder, without worrying about sharing confidential information.

3. Case Log Reporting

We are adding in the ability to report on Case Logs from within the query builder. Once our Autumn 2016 Release goes live, you’ll be able to pull full data reports for any pending or closed cases!

Organisation Chart

Most of these changes will be most beneficial to organisations with larger workforces, but we’re sure you’ll be happy with them no matter how many people you employ. Changes include:

– Filtering charts by location or department

– Excluding specific employees from the chart

– Zooming in and out

Filtering Charts by Location or Department

As your business grows, your organisation chart tends to get bigger, more complex, and let’s face it, more confusing. Especially if you’re now running multiple departments or even companies!

As part of the Autumn Release, we are adding the ability for you to filter your organisation chart by location or department. For example, if you want to show a new recruit the structure of the team they are joining, you simply filter the chart by whichever department they will be working in.

Excluding Specific Employees from the Chart

Some of our customers expressed an interest in generating an organisation chart that did not include certain members of their company. There could be many reasons for wanting to do this – such as showing the structure of a team without the top level manager, or even generating a chart that doesn’t include any camera-shy employees.

Whatever the reason for excluding a person from an organisation chart, the important thing is that now, you can.

Zooming In and Out

Another thing our customers told us – particularly those with larger and more complex organisational structures – was that they wanted more options in terms of viewing the chart. Once the Autumn 2016 Release goes live, you’ll be able to zoom in and out of any organisational chart you generate!

“Full Time Equivalent” Calculator for Part-Time Workers

FTE stands for “Full Time Equivalent”. If you have part-time workers in your organisation, then their Full Time Equivalent salary is, quite simply, the salary you would be paying them if they were working for you full-time.

The FTE Calculator is a brand new feature we’re introducing to your HR system, which will let you quickly and easily calculate any part-time worker’s Full Time Equivalent salary.

This will be a really useful tool in many situations. For example, if you’re considering making one of your part-time employees a full-time employee, you’ll be able to use the FTE calculator to instantly find out what their salary would be. No manual calculations, and no confusion.

What’s more, you’ll be able to use any part-time employee’s Full Time Equivalent whenever you generate a report in your Query Builder. This is really helpful for making like-for-like comparisons between people on your payroll, even if they work very different hours.

Assignments

You can now add an assignment entry over any 24-hour period, which means you no longer have to make two separate entries if the 24-hour period spreads over two different days. Yay!

National Insurance

You will be able to define a pattern to match entries against in the NI field, which will help prevent incorrect data being stored in the system thanks to typos.

Other Events

We’ve improved the Other Events functionality, to give you the option to allow each event to be independent of the employee’s working pattern. Simply flag the option in your settings which says that you do not wish the work pattern to be included. This greatly improves the flexibility of Other Events, and allows Other Events to include things like weekends away!
